Create your account & connect your Facebook or Instagram page

Goal

Get into the dashboard and link the page you'll manage.

  1. Sign in with Google from the landing page.
  2. Open Settings → Connect.
  3. Click Connect Facebook or Instagram page and approve the connection (Meta Business Suite access is required).
  4. Select the page you manage. Each page keeps its own voice, knowledge, and reply queue.
Check

Your page shows as "Connected" with its name in the top bar.

Set up Brand Voice

Goal

Teach Sudota how your team writes, so drafts sound like you.

  1. Go to Settings → Brand Voice.
  2. Import your past official replies, or paste examples of your best replies.
  3. Click Analyze and review the tone profile Sudota creates (greeting style, sign-offs, emoji rules, banned phrases).
  4. Set your language style, greeting, sign-off, emoji rules, and banned phrases.
  5. Click Save.
Tip

Use 10–20 real replies for the most accurate voice profile.

Step 2 walkthrough: pasting past replies, analyzing, and saving the brand voice tone profile

Run Response Guides analysis

Goal

Turn your comment history into rules for handling each question type.

  1. Go to Settings → Response Guides.
  2. Click Run Analysis. Sudota reads your comment history and groups similar questions by intent (stock checks, returns, promos, and so on).
  3. Wait for the progress bar (large pages can take a few minutes).
  4. Review each guide's rules and example replies.
  5. Edit anything that doesn't match how your team should respond, then Save.
Tip

Run this again later — guides refresh as your comment mix changes, and new intents surface automatically.

Step 3 walkthrough: running Response Guides analysis to group comments by intent and draft playbook rules

Upload documents & Build Knowledge

Goal

Give Sudota the facts it needs, from the files you already have.

  1. Go to Settings → Knowledge.
  2. Upload your PDF, Word, Excel, or other supported files (11 formats total — policies, store lists, product specs, FAQs).
  3. Click Build Knowledge. Sudota extracts structured Knowledge Artifacts from your documents — topics, facts, conditions, and citations.
Tip

One document can produce many artifacts. A store-locations file might become separate topics for return policy, opening hours, and location details.

Also choose your web lookup tier in Knowledge settings:

  • Off — answers come only from uploaded files
  • Your site only — web lookup limited to your domain
  • Full web — broader live lookup for promos, hours, and stock
Note

Uploading alone makes files searchable; Build + Approve is what turns them into structured, answer-ready knowledge.

Step 4 walkthrough: uploading documents and building Knowledge Artifacts

Review & approve Knowledge Artifacts

Goal

Make sure only verified facts power your replies.

  1. After the build finishes, open the artifact review list.
  2. Read each draft artifact: Topic, Facts, Conditions, Source citation.
  3. Edit any fact that's wrong or unclear.
  4. Approve the artifacts that are ready. Only approved artifacts are used in replies.
Tip

If you update a document later, rebuild knowledge — old artifacts are automatically retired so replies never cite stale info.

Step 5 walkthrough: reviewing and approving Knowledge Artifacts with source citations

Test with sample comments

Goal

Check reply quality before you go live.

  1. Go to the Test tab.
  2. Type a realistic customer comment (try a product question and a complaint).
  3. Click Generate and review the draft.
  4. Check the sources it used — your documents and/or web results.
  5. Adjust brand voice or knowledge if replies feel off, then test again.
Tip

Test at least one question from each of your main question types.

Step 6 walkthrough: testing a sample customer comment and reviewing the AI draft with its sources

Launch your first batch & approve replies

Goal

Clear your comment queue and approve replies at scale.

  1. Open AI Assist from the dashboard.
  2. Click Start Batch to process up to 500 unanswered comments at once.
  3. Watch live progress as Sudota checks each comment's question type, matches approved knowledge, runs web lookup when needed, and drafts a reply in your brand voice.
  4. When the batch finishes, comments are grouped by post.
  5. Read each draft, edit if needed, then select replies and click Approve Selected.
  6. Post when you're ready — nothing goes live without you. You can also edit with feedback or regenerate any draft.
Step 7 walkthrough: starting a batch, reviewing drafts, and approving selected replies

Why Knowledge Base beats raw document upload

Uploading a file alone stores text chunks for search. Build Knowledge goes further — it extracts answer-ready facts your team approves before they go live.

Raw document search

Before

Finds a paragraph that looks similar to the question. Key numbers and conditions can be buried in surrounding text.

Knowledge Artifacts

After

Structured facts with conditions and citations. When a customer asks, AI intelligently matches their wording to the right facts — even when they phrase it differently.

  • One document → many topics — a store guide becomes separate artifacts for hours, returns, and locations
  • Human review — drafts stay in review until you approve them
  • Compact, precise facts — replies use curated facts instead of dumping long excerpts
  • Source citations — every fact traces back to a file and page

Common mistakes to avoid

  • Skipping Brand Voice — without it, drafts sound generic.

  • Uploading without building — uploads are searchable, but Build + Approve is what creates answer-ready knowledge.

  • Never updating knowledge — rebuild after document changes so stale facts retire.

  • Going live without testing — always test a few question types first.

FAQ

How long does setup take?
About 30–45 minutes for the full setup — connect, voice, playbooks, knowledge, test — then a few minutes per batch day-to-day.
Do I need a developer?
No. Everything is point-and-click in the dashboard.
What happens after I approve a reply?
The reply is saved to your dashboard, ready for you to post when you choose. You're always in control of what goes live.
Can I change my setup later?
Yes — brand voice, playbooks, and knowledge can all be fine-tuned anytime. See Replies That Sound Like You.
What does a batch cost in credits?
Each reply uses credits: 1 credit without web search, 2 credits when live web lookup runs, and 0 credits on cache hits (near-duplicates of approved replies). Sudota Free includes a one-time pool of 30 credits to try manual drafting before you subscribe.
Replies feel too generic — what should I check?
Upload more documents in Knowledge, run analysis again on Response Guides, and make sure Brand Voice is set up with real examples from your page.
Batches take a long time — is that normal?
Large batches with web lookup enabled can run for several minutes. Try a smaller batch first, or turn off full web lookup if you only need document-based answers.
Dashboard stats are empty
Stats populate after you generate and approve replies in AI Assist. Run a batch and approve at least a few drafts to see numbers update.
What are Knowledge Artifacts?
Knowledge Artifacts are structured knowledge units extracted from your uploaded documents — topic, facts, conditions, and source citations. Click Build Knowledge after uploading or updating files, then review and approve drafts before they go live.
Replies still cite outdated info after I updated a document
After uploading a new version of a file, click Build Knowledge again. Old artifacts are marked stale and excluded from replies, but fresh artifacts only exist after a new build.
